1. Welcome to Team Machine

These Terms and Conditions apply to bookings for Team Machine, a large-scale escape room and team challenge experience operated by Team Machine LTD from BF05, 25 Nicolson Square, Edinburgh EH8 9BX.

Please read these terms before making a booking. By placing a booking, paying for a booking, attending an experience, buying a gift card, or arranging a package with us, you agree to these terms.

We have written these terms to be clear, fair and practical. If you have any questions, please contact us at info@team-machine.co.uk before booking.

2. Who we are

Team Machine LTD is a company registered in Scotland under company number SCSC837687.

We are not currently registered for VAT.

3. About the experience

Team Machine is a timed, team-based escape room and immersive challenge experience. Participants work together to complete tasks, solve puzzles and interact with the environment.

The experience may include:

  • moderate physical exertion;
  • very short-distance running or fast movement;
  • darkness or reduced lighting;
  • flashing lights;
  • eye-safe lasers;
  • simulated tension, urgency or pressure;
  • sound effects, props and theatrical elements; and
  • instructions from our game master or venue team.

The level of exertion required is generally up to the group, but all participants must take care at all times and follow instructions from Team Machine staff.

4. Bookings

Bookings can be made online or by email.

A booking is not confirmed until we have accepted it and, unless we agree otherwise in writing, full payment has been received.

For very large groups, corporate bookings or bespoke packages, we may agree to accept a deposit. Where a deposit arrangement is agreed, the remaining balance must be paid no later than 7 working days before the booking date, unless we agree a different deadline in writing.

The person making the booking is the booking organiser. The booking organiser is responsible for:

  • ensuring the information provided to us is accurate;
  • paying all amounts due;
  • sharing relevant information, safety instructions, waivers and policies with all participants in their group;
  • making sure all participants arrive on time;
  • making sure all participants comply with these terms; and
  • telling us in advance about any accessibility, medical or participation requirements that may affect the group.

5. Group size

The minimum group size is 8 participants and the maximum group size is 24 participants, unless we agree otherwise in writing.

Additional participants may be added after booking by emailing us at info@team-machine.co.uk. Additional participants are subject to availability, capacity limits and any additional charges that apply.

The charge for your booking is based on the number of participants booked, not the number who actually attend. We do not offer refunds or price reductions if fewer people attend than originally booked.

6. Age restrictions

Participants must be aged 8 or over.

Additional age restrictions may apply to certain activities, packages or experiences. We will tell you about any additional age restrictions before or at the time of booking where they apply.

Participants under 18 must have an adult physically present in the room as part of the group throughout the experience. The adult is responsible for supervising the under-18 participants in their group.

7. Health, safety and suitability

Team Machine is designed to be fun, but it is an active experience and may not be suitable for everyone.

Participants should consider whether the experience is suitable for them before attending, particularly if they:

  • are pregnant;
  • have a heart condition;
  • have epilepsy or photosensitivity;
  • experience claustrophobia, anxiety or panic in dark or confined spaces;
  • have a mobility, balance, respiratory or sensory condition;
  • have a recent injury or medical condition; or
  • are unsure whether moderate exertion, darkness, flashing lights or simulated tension may affect them.

Participants should consult a doctor or other appropriate medical professional before attending if they are unsure about suitability.

All participants must:

  • act sensibly and responsibly;
  • follow instructions from Team Machine staff;
  • take care of themselves, other participants, staff and the venue;
  • avoid unnecessary physical force;
  • avoid running or moving in a way that is unsafe for the space or group;
  • not interfere with equipment, props, fixtures, fittings or safety systems; and
  • stop participating and tell a member of staff immediately if they feel unwell or unsafe.

8. Waiver and participation acknowledgement

We may require participants to sign or accept a participation waiver, safety acknowledgement or similar document before taking part.

Where we send a waiver or participation acknowledgement to the booking organiser, the booking organiser is responsible for sharing it with all participants and ensuring it is completed where required.

A waiver or participation acknowledgement does not remove any legal rights that cannot lawfully be excluded or restricted. Nothing in these terms or any waiver excludes or limits our liability for death or personal injury caused by our negligence, fraud, fraudulent misrepresentation, or any other liability that cannot be excluded or limited by law.

9. Accessibility

The venue may be wheelchair accessible by prior request. Please contact us before booking or as soon as possible after booking if any participant has accessibility requirements.

We will do our best to make reasonable adjustments where we can. However, because of the nature of the experience, not all parts of the experience may be available or suitable for participants with certain physical disabilities or access needs.

We cannot guarantee that all adjustments will be possible, particularly where we are not told about requirements in advance.

10. Arrival and lateness

Please arrive 10 minutes before your booked start time.

We do not have a waiting area, so it is important that the whole group arrives promptly and together where possible.

If team members arrive late, we will do our best to give your group as much of the experience as possible. However, late arrival may reduce the time available for the experience.

Participants arriving more than 15 minutes late cannot be accommodated and no refund will be given for those participants.

11. Cancellations and rescheduling by you

Bookings are for a specific date and time.

Bookings are non-refundable, except where these terms say otherwise or where required by law.

You may ask to reschedule your booking by emailing info@team-machine.co.uk at least 48 hours before your booked start time. Rescheduling is subject to availability.

We cannot guarantee that a new date or time will be available. If you request a reschedule with less than 48 hours’ notice, we may refuse the request and the booking will remain non-refundable.

No refund or reschedule will be provided for no-shows or for participants who are refused entry because they are late, under the influence of alcohol or drugs, behave unsafely, or fail to comply with these terms.

12. Consumer cancellation rights

Where a consumer makes an online or email booking, consumer cancellation rights may apply in some circumstances. However, many leisure activity bookings for a specific date or period are treated differently under consumer cancellation rules.

Because Team Machine bookings are for a specific date and time, you should assume that the booking is non-refundable once confirmed, unless we tell you otherwise in writing or the law requires otherwise.

This does not affect your statutory rights.

13. Cancellations by Team Machine

We may need to cancel a booking due to circumstances including, but not limited to:

  • safety concerns;
  • staff illness;
  • technical issues;
  • venue issues;
  • emergency maintenance;
  • events outside our reasonable control; or
  • any situation where we reasonably believe the experience cannot be delivered safely or properly.

If we cancel your booking, we will endeavour to give as much notice as possible and will provide a full refund of the amount you paid to us for the cancelled booking.

We are not responsible for other costs you may incur in connection with the booking, such as travel, accommodation, food, drink, parking, childcare or other third-party costs.

14. Prices and payment

Prices are displayed on our website or confirmed by email.

Payment is usually required in full to confirm the booking. For very large groups or bespoke packages, we may agree a deposit and balance payment schedule in writing.

Where a balance payment is due, it must be paid no later than 7 working days before the booking date unless we agree otherwise in writing. If payment is not received on time, we may cancel the booking and retain any deposit or sums already paid, except where this would be unfair or unlawful.

We may correct obvious pricing errors. If we identify a pricing error after you book, we will contact you to explain the issue and either confirm the correct price or offer you the option to cancel for a refund.

15. Behaviour and right to refuse entry or remove participants

We want everyone to have a fun and safe experience. We may refuse entry to, or remove, any participant or group if we reasonably believe that they:

  • are under the influence of alcohol or drugs;
  • are behaving aggressively, abusively, offensively or unsafely;
  • are harassing staff, other participants or members of the public;
  • refuse to follow instructions;
  • deliberately damage or misuse property;
  • attempt to force, break, dismantle or tamper with props, equipment, doors, locks, fixtures or fittings;
  • attempt to cheat in a way that affects safety or the experience;
  • bring prohibited items onto site;
  • take photos or videos during the experience without permission; or
  • otherwise breach these terms.

If we refuse entry or remove a participant or group under this section, no refund will be given.

16. Alcohol, drugs, smoking, food and drink

Alcohol is prohibited on site.

Participants who are visibly under the influence of alcohol or drugs will be denied entry for the safety of our staff, themselves and other participants.

Smoking and vaping are not permitted inside the venue.

Food and drink may only be brought into the venue with our prior permission.

17. Damage to property

Customers are responsible for treating the venue, props, equipment and other property with care.

You may be liable for the cost of repair, replacement, cleaning or other losses caused by:

  • deliberate damage;
  • reckless behaviour;
  • negligence;
  • misuse of equipment or props; or
  • failure to follow instructions from the game master or Team Machine staff.

The booking organiser may be responsible for damage caused by members of their group, subject to applicable law.

18. Phones, photography and filming

Participants are asked not to take photographs or videos during the experience.

This helps preserve the surprise for future teams, protects our intellectual property and helps everyone stay focused and safe.

Our team will provide a chance for team photos at the end of the experience where possible.

We may ask for your consent before taking or using any photos or videos for promotional purposes. You do not have to agree.

19. Spoilers and intellectual property

Team Machine, including its puzzles, scripts, designs, stories, game mechanics, graphics, props, layouts, written materials, branding, photographs, video content and other creative elements, is protected by intellectual property rights.

You must not copy, reproduce, adapt, publish, record, disclose or commercially exploit any part of the experience without our written permission.

Please do not publish spoilers, puzzle solutions, confidential game details or behind-the-scenes information. Keeping the secrets keeps the experience fun for everyone.

20. Gift cards

We may sell gift cards or credit vouchers.

Gift cards are valid for 12 months from the date of purchase unless stated otherwise at the time of purchase.

Gift cards:

  • may be used towards eligible Team Machine bookings;
  • cannot be exchanged for cash;
  • are not refundable except where required by law;
  • must be used before their expiry date;
  • may be transferable unless we state otherwise; and
  • will not be replaced if lost, stolen or used without permission, unless we are at fault.

If the value of a booking is higher than the gift card balance, the difference must be paid at the time of booking.

If the booking value is lower than the gift card balance, any remaining credit may be retained on the gift card until the expiry date, where our systems allow this.

21. Discounts and voucher codes

We may offer discounts, promotional codes or special offers from time to time.

Each discount or code may be subject to its own terms and conditions, including expiry dates, minimum spends, booking restrictions, group restrictions or excluded dates.

Discounts and promotional codes must be applied at checkout or before payment. They cannot usually be applied retrospectively.

We may withdraw or amend offers at any time, but this will not affect bookings already confirmed unless there has been an obvious error or misuse.

22. Room hire, catering and third-party packages

We may resell or arrange room hire, catering packages, hospitality options or introductions to local bars, restaurants or other third-party providers as part of a package.

Where a third-party provider supplies part of your package, that provider may have its own terms and conditions. We will tell you where this applies.

Unless we expressly state otherwise in writing, we are not responsible for the acts, omissions, availability, food, drink, premises, service standards, charges or policies of independent third-party providers.

If we act as a reseller or organiser for a third-party element, our responsibility will depend on the nature of the arrangement confirmed to you at the time of booking.

23. Corporate, private hire and bespoke bookings

Corporate, private hire and bespoke bookings may be subject to additional written terms, proposal documents, invoices or package details.

If there is a conflict between these standard terms and any written bespoke agreement signed or confirmed by us, the bespoke agreement will take priority for that booking.

For corporate bookings, the organisation making the booking is responsible for ensuring that participants receive all relevant information and comply with these terms.

24. Liability

Nothing in these terms excludes or limits our liability for:

  • death or personal injury caused by our negligence;
  • fraud or fraudulent misrepresentation; or
  • any other liability that cannot be excluded or limited by law.

We are responsible for foreseeable loss or damage you suffer as a result of our breach of these terms or our failure to use reasonable care and skill.

We are not responsible for loss or damage that is not foreseeable.

For consumer bookings, nothing in these terms affects your statutory rights.

For business or corporate bookings, subject to the first paragraph of this section, we will not be liable for loss of profit, loss of business, loss of revenue, loss of goodwill, loss of anticipated savings, business interruption or indirect or consequential loss.

Participants are responsible for their own personal belongings while at the venue. We are not responsible for loss, theft or damage to personal belongings unless caused by our negligence.

25. Events outside our reasonable control

We will not be responsible for failing to perform, or delay in performing, our obligations where this is caused by events outside our reasonable control.

This may include severe weather, flood, fire, power failure, transport disruption, public health restrictions, venue closure, civil emergency, terrorism, industrial action, supplier failure, or other events we could not reasonably prevent.

Where an event outside our reasonable control affects your booking, we will contact you as soon as reasonably possible and take reasonable steps to minimise the effect.

26. Complaints

If you have a complaint, please contact us at info@team-machine.co.uk as soon as possible with your booking details and a description of the issue.

We will aim to respond fairly and promptly.

27. Changes to these terms

We may update these terms from time to time.

The terms that apply to your booking will usually be the terms in force at the time your booking is confirmed, unless a change is required by law or you agree to the change.

28. Severability

If any part of these terms is found to be invalid, unlawful or unenforceable, the remaining parts will continue to apply.

29. Governing law and jurisdiction

These terms are governed by the law of Scotland.

If you are a consumer, you may bring proceedings in the Scottish courts. If you live elsewhere in the UK, you may also have the right to bring proceedings in your local UK courts.

If you are a business customer, the Scottish courts will have exclusive jurisdiction, unless we agree otherwise in writing.
